Start with the official document list

Before renaming or converting anything, copy the scholarship provider's required-document list into a checklist. The application instructions decide which files are mandatory, which are optional, whether documents must be certified or translated, and which formats or sizes the portal accepts.

Use the scholarship application documents checklist to identify common files, but do not treat a general checklist as a substitute for the current official call.

Use clear file names

A reviewer or portal administrator should be able to identify a file without opening it. A useful pattern is:

Use only the scholarship or programme name needed to distinguish the tailored file. Keep names short enough for the portal. Avoid labels such as final, final2, new, scan0001, or document because they do not identify the content.

If the provider gives a required naming format, follow it exactly instead of this pattern.

Separate reusable and tailored documents

Reusable documents can include a passport or national ID copy, degree certificate, official transcript and language result. They still need checks for validity, certification, translation, legibility and file size.

Tailored documents include the CV, statement of purpose, personal statement, study plan and research proposal. Keep a clean master copy, then create a scholarship-specific version in a separate folder.

Do not overwrite the only copy of an official document. Store originals in a read-only or clearly labelled folder and work from copies.

Convert files carefully

PDF is common because it preserves layout, but use the format named by the portal. After conversion:

  1. Open the PDF on a second device or in another reader.
  2. Check every page, especially the first and last.
  3. Confirm that text is readable at normal zoom.
  4. Make sure signatures, stamps and grades are not cut off.
  5. Check that comments, tracked changes and hidden notes are not included.
  6. Copy a sentence from the PDF when searchable text is expected.

Avoid converting a low-quality screenshot into a PDF and assuming that it is now an acceptable document. The file format can be correct while the content remains unreadable.

Meet the upload limit without destroying legibility

If a portal sets a size limit, first remove blank pages and rescan at a reasonable resolution. Compress a copy, not the original. Reopen the compressed version and inspect small text, stamps, signatures and tables.

Do not use an unknown public conversion website for passports, transcripts or other sensitive documents unless you understand how it handles uploads. Prefer a trusted local tool or an official institution copy when possible.

Combine files only when instructed

Some applications request one combined document; others provide a separate field for every item. Follow the structure on the form.

When combining documents, use the order in the instructions and add a short contents page only if the provider allows it. Check that page orientation is consistent and that no section is duplicated or missing.

Review identity and date consistency

Names, dates and qualification details should agree across the form and supporting documents. If your documents use different versions of your name, follow the provider's instructions for evidence or an explanation. Do not edit an official document to make it look consistent.

Check passport expiry, language-test validity, certification dates and whether a transcript is official or unofficial. A file can be technically correct but still fail a validity requirement.

Protect sensitive documents

Upload files only to the official portal or address in the verified scholarship instructions. Be cautious when a message changes the destination, asks for a payment, promises guaranteed selection or requests passwords and one-time codes.

Where appropriate, a copy can be watermarked with the scholarship name and purpose, but only when this does not violate the provider's document rules or hide required information.

  • The format and size meet the published rules.
  • Every page opens and is readable.
  • The correct scholarship-specific version is attached.
  • Names, dates and programme details are consistent.

  • You saved the submitted files and confirmation evidence.

Should every scholarship document be a PDF?

No. Use the format requested in the current application. PDF is common, but a portal may require an image, Word document, spreadsheet or direct text entry.

Can I use the same statement for every scholarship?

No. Keep a master evidence bank, but tailor the argument, programme fit, goals and examples to the actual prompt and award.

What should I do if a file is too large?
